Position Title: Executive Assistant
Reports to: Chamber Board of Directors through the President


General Job Description
The Executive Assistant shall support the mission and policies of the Chamber of Commerce by
providing administrative support for annual and special events, committee work, and daily
office activities. This is a part-time position (20 hours per week).
Specific Job Responsibilities

  1. Annual and Special Events: Provide administrative support, collect RSVPs, arrange off-site
    event locations, obtain pricing and food coordination, arrange all planning meetings,
    distribute materials, take notes, and coordinate follow-up tasks.
  2. Monthly Board and Special Committee Meetings: Arrange all meetings with notices to
    Chamber members, distribute materials, take notes, and coordinate follow-up tasks.
  3. Chamber Programs: Work with the Chamber President and Board to provide administrative
    support including, but not limited to, assisting with scheduling meetings, preparing and
    distributing materials, coordinating off-site arrangements, and obtaining pricing and food
    details for review/approval by the Board.
  4. Manage and maintain through the Chamber’s software:
    a. Distribute communications and notices
    b. Prepare membership invoicing
    c. Provide administrative support for the coordination and distribution of the monthly
    newsletter and marketing materials
  5. General office management: Maintain the operations and workflow by coordinating supply
    purchases, maintenance, overall scheduling, organization, time management, and basic
    bookkeeping.
  6. Serve as a main point of contact to members and guests by phone, email, social media,
    and/or in person.

Education/Experience
A qualified candidate will hold a high school diploma and preferably have additional training in
business administration and/or business technologies and will have administrative experience
in managing and coordinating a successful and productive office.


Proficiency is required in verbal and written communications, Microsoft Word and Excel (or
equivalents), and familiarity with database management.
